Task Responsibilities:

Overview

Cargolux is seeking a highly skilled and detail-oriented Specialist (SR) Fuel Management to support optimization of fueling operations. This role is critical in ensuring the efficiency, reliability, and financial integrity of our fuel supply chain. The ideal candidate will have a strong background in airline ground and flight operations, financial analysis, and supplier negotiations, with a proactive approach to resolving fuel supply constraints and support in strategic projects that help develop operational efficiency. 

Key Responsibilities

 

Project Management & Strategic Support

  • Provide project management support for fuel-related initiatives, including infrastructure upgrades, digitalization efforts, and process improvements.
  • Assist in the preparation of business cases, project timelines, and stakeholder briefings.
  • Coordinate with cross-functional teams to ensure timely execution of fuel projects and alignment with operational goals.

Fuel Supply Chain & Self-Supply Management

  • Support self-supply fuel programs, including pipeline ingress point deliveries, and regulatory compliance of importer obligations such as Compulsory Storage Obligation.
  • Track and report on fuel uplift, consumption, and stock levels across stations, ensuring data accuracy and timely submission of reports.
  • Support the development and implementation of contingency plans for fuel shortages or supply chain disruptions.

Operational Oversight & Fueling Coordination

  • Monitor and manage daily ramp fueling operations across Cargolux’s network, ensuring timely, safe, and efficient refueling processes.
  • Investigate and resolve fueling delays, supply disruptions, and operational incidents, including off-spec fuel or aircraft damage.
  • Liaise with intoplane fueling providers, airport authorities, and internal stakeholders on regular business reviews to maintain high service standards and operational continuity.

Financial Analysis & Cash Management

  • Conduct detailed financial analysis of fuel and SAF costs, usage trends, and supplier performance to support budgeting and forecasting.
  • Manage prepayment accounts and ensure accurate tracking of fuel-related financial transactions.
  • Collaborate with Finance Division and Global Operations to identify cost-saving opportunities.

Vendor & Contract Oversight

  • Support the supplier selection process for intoplane services, including drafting Service Level Agreements and evaluating proposals.
  • Negotiate and manage contracts with fuel suppliers and service providers, ensuring compliance with performance standards and safety regulations.
  • Support Fuel Consortia meeting preparation for the 6 current international Board representations across the network

Reporting & Compliance

  • Ensure compliance with internal policies, evolving industry standards, and environmental regulations related to fuel handling and reporting.
  • Prepare and present regular performance reports, KPIs, and operational dashboards to senior management.
  • Contribute to audits, risk assessments, and continuous improvement initiatives.

Essential Requirements For The Position:

Minimum Requirements:

  • 4+ years of professional experience including project management of logistics operations, with a proven track record of delivering complex initiatives on time and within scope

  • Strong data analysis capabilities and analytical thinking, with the ability to translate data insights into actionable strategies

  • Demonstrated experience in operational troubleshooting, vendor coordination, and cross-functional collaboration

  • High proficiency in Power BI, Excel, PowerPoint, or similar data visualization and reporting tools

  • Excellent communication skills, with the ability to present complex data clearly to both technical and non-technical stakeholders

  • Willingness and ability to travel occasionally to global stations, as required

Preferred Qualifications:

  • Degree in Business, Engineering, Logistics, Mathematics, or a related field

  • Experience leading airline operations projects, with exposure to financial analysis, performance tracking, and operational optimization

  • Ability to work under pressure, in fast-paced, dynamic environments

  • Familiarity with commodity trading, energy markets, and airline regulatory frameworks

  • Knowledge of data governance, KPIs development, and dashboard creation to support operational decision-making

Language Qualifications:

  • Fluency in written and spoken English; French is a plus.
