The purpose of this role is to support the CIO, IT Director, IT Leadership team and the whole of IT. In supporting the ITLT you will be part of the overall governance of IT and will be required to engage in all areas of IT.


This role reports to the Project management Officer, with PA support provided to CIO and the IT Director.

Senior PA:

  • Provision of PA support to the CIO, IT Director and where required other ITLT members.

  • Diary management – including arranging and co-ordinating meetings, liaison with delegates (both internal and external), the booking of meeting rooms and refreshments as necessary.  Collection of visitors from reception as required.

  • Minute taking for various meetings.

  • Preparation of reports (including collation of documentation) and preparation of meeting packs as needed.

  • Preparation of material for internal and external presentations as required.

  • Documentation – create and update general correspondence as necessary ensuring brand compliance and high standards of accuracy.

  • Proactive e-mail management.

  • Telephone – acting as the first point of contact for clients and contacts (being friendly and efficient), dealing with routine enquiries and cold calls, screening calls, taking accurate messages and ensuring that they are passed on promptly.

  • Receive and screen incoming post. 

  • Provide ad-hoc administrative support for other team members including booking travel, organising couriers, stationery and business cards.

  • Assisting in organising logistics for events including staff briefings, away days and other departmental meetings.

  • Organise travel arrangements and documentation for all of IT where necessary.

  • Schedule and coordinate meetings/workshops as requested.

  • Submit expense claims where required in the IT dept.

  • Assistance with the managing of key IT technology partner relationships.

  • Coordinate and manage departments coaching and training including maintaining bookings log and budget.

  • Collate, record and report on departments overtime on monthly basis.

  • Carry out Health and Safety responsibilities within the group to ensure work station assessments are completed in accordance with the firm’s guidelines, working closely with HR and the Health & Safety Advisor.

  • Represent IT on various cross business committees where required, including the Business Support Forum and the wider Operations Management population.

  • Act as an escalation point for any IT wide facilities issues, e.g. liaising with the PFM department to help facilitate relevant office moves.

  • Support with ISO 27001 compliance.

  • Assist in the management of the IT department budget, including invoice processing and deputising for the IT Financial Analyst in preparation of budget and forecasts, analysing monthly finance reports, invoices and credit cards.

  • Assist with induction for new joiners to the department and effectively facilitate departmental leavers.
