The Executive Office (EO) provides support to the Leadership Team which is responsible for the development and implementation of the firm’s strategy together with oversight of the management of the firm. The Partnership Administration team, which sits within the EO, is responsible for partner HR matters and supports the Leadership Team and the EO Directors on ad hoc projects.
The administrator assists with the provision of an efficient, effective and professional administrative support service to the team, with specific responsibility for ensuring that partner HR data is complete and accurate.They are expected to provide an exceptional client experience in supporting partner HR initiatives within the firm. The role reports to the Partnership Administration Manager.
Maintenance of partners’ personal data files
Maintenance of the central partner database
Administration relating to partner joiners and leavers
Administration of the partner feedback and performance review process
Support to the Partnership Administration Manager during the profit sharing process
Maintenance and filing of key documents, reference material and checklists
Maintenance of partner related data published internally and externally
Distribution of documents and maintenance of the partner extranet
Assistance with administration of partner insurance schemes
Management of partner’s professional subscription renewal process
Management of Partnership Admin calendar of activities and production of reminders
Assistance with ad hoc EO projects
Support to the Director of Equity Partner HR with ad hoc data analysis
Assistance with responding to ad hoc information requests
IT Literate with good knowledge of Microsoft packages (MS Word, Powerpoint, Excel, Outlook)
Good interpersonal skills & telephone manner helping to create a positive impression at all touch points
Ability to prioritise tasks under supervision
Responsive to ad hoc requests
Previous experience of administration and/or secretarial work within a professional environment
Database skills (or willingness to learn)
Knowledge of Sharepoint
Ability to be flexible with hours when required
Discreet with a strong appreciation of the confidential nature of work within the Executive Office
Able to execute agreed processes within relevant timescales with some supervision
Highly organised and disciplined to enable management of high volumes of actions in an efficient manner whilst maintaining attention to detail
Ability to identify and evaluate problems and take a proactive approach to the development of solutions with some supervision, escalating matters that have the potential to compromise required outcomes on a timely basis
Keen team player, willing to be flexible in providing support to colleagues to ensure the smooth running of the department
GCSE Maths and English, at C grade or above (essential)
Relevant professional training or administrative experience in a previous role
